How to invite and manage tenants
Tenants in Proper Agent are linked to properties and tenancies. Once added, tenants can use the mobile app to message you and report issues.
Step 1: Go to Tenants
Open Tenants from the sidebar. Here you will see all tenant records across your portfolio.
Step 2: Add a tenant
Click Add tenant and enter their name, email, and phone number. If the tenant is already linked to an active tenancy, select the property and tenancy.
Step 3: Send an app invitation
After creating the tenant record, you can invite them to download the Proper Agent tenant app. They will receive an email with instructions to set up their account.
Step 4: Tenant uses the app
Once registered, tenants can:
- Send you messages about maintenance or general enquiries
- Report issues that Proper Agent can triage with AI
- View their tenancy details and documents you share with them
Step 5: Keep records up to date
Update tenant contact details from their profile page. If a tenant moves out, their record stays linked to the tenancy history for your records.
Tips
- Make sure the email address is correct before sending an invitation — tenants sign in with this email.
- Use Messages to see all conversations with tenants in one place.
- Tenant records are separate from Contacts (agents, contractors, etc.) which you manage under Contacts.
