How to track compliance and deadlines

Compliance tracks your NI landlord obligations — registration, safety certificates, deposit protection, and notice deadlines — with automated reminders.

Step 1: Open Compliance

Go to Compliance from the sidebar. You will see an overview of items across your portfolio, grouped by status (overdue, due soon, up to date).

Step 2: Add a compliance item

From a property page or the Compliance overview, add items such as:

  • Landlord registration renewal
  • Gas safety certificate (CP12)
  • Electrical installation condition report (EICR)
  • EPC renewal
  • Deposit protection confirmation

Step 3: Set expiry dates

Enter the expiry or renewal date for each item. Proper Agent calculates when reminders should be sent and shows items on your dashboard when they are due.

Step 4: Upload evidence

Attach the certificate or document to the compliance item. This keeps everything in one place for inspections or disputes.

Step 5: Act on reminders

When a reminder appears on your dashboard or by email, open the compliance item, renew the certificate, and update the expiry date.

Tips

  • Add all certificates when you first set up a property — reminders only work if dates are entered.
  • Compliance items are per property, so HMOs need separate entries for each property address.
